SUMMARY
Perform a wide variety of secretarial, clerical and typing duties in support of assigned department and the ability to operate a multi-line telephone system to answer incoming calls and direct callers to appropriate personnel by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.

  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages or transfers call to voice mail when appropriate personnel are unavailable.
  • Answer questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitors visitors access and issue passes when required.
  • Receives, sorts, and routes mail, and maintains and routes publications.
  • Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
  • Orders, receives, and maintains office supplies.
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Performs other clerical duties as needed, such as filing, photocopying, and collating.
    Independently answers inquiries and provides information or assistance to callers and visitors which requires thorough knowledge of office policies and procedures.
  • Receives, date stamps, separates and distributes incoming mail or other materials to work unit members; determines appropriate receiver based on subject of correspondence or mail; answers routine correspondence using independent judgment.
  • Performs a variety of clerical and other tasks pertinent to organization such as drafting correspondence in response to incoming mail or requests.
  • Perform data entry into AS400 computer to access established data base files and ability to perform back-up word processing.

SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.

QUALIFICATIONS
No special qualifications are needed except as listed.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of office procedures, practices and etiquette.
  • Skill in telephone/receptionist etiquette and courteous communication with public, verbally and in writing.
  • Correct English usage, grammar, spelling, punctuation and vocabulary.
  • Interpersonal skills using tact, patience and courtesy.
  • Maintain complex and varied files and records.
  • Type 45 words per minute.
  • Interpret and apply specific rules, policies and procedures of the office or program to which assigned.
  • Establish and maintain cooperative and effective working relationships with others.
  • Provide work direction and guidance to others as assigned.
  • Work confidentially with discretion.
  • Work independently with little direction.
  • Communicate effectively both orally and in writing.
  • Meet schedules and time lines.
  • Prepare reports, correspondence and related materials.
  • Skill in the operation of a variety of office machines including, personal computers, telephones and copiers.

EDUCATION and/or EXPERIENCE
One to three years related experience and/or training; or equivalent combination of education and experience.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to stand. The employee must occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.

WORK ENVIRONMENT
Typical environments include offices, light industrial, commercial, utility and manufacturing. The noise level in the work environment is usually moderate.
